What did you do before becoming a planner?
I was a mental health counselor for children and teens!
How far in advance should we book a planner?
For day-of coordination about 6 months, we book up fairly quickly! For planning, we suggest about a year.
Do you only work with specific vendors or can we choose our own?
While we have a preferred vendors list, we are happy to work with any vendor or venue of your choosing!
Are your packages customizable?
Yes! We want you to get exactly what you need.
Do you only do weddings/events in Georgia?
No! Wherever your event takes us, that’s where we’ll go.
What is your role on the wedding/event day?
Arrive when venue opens and oversee all vendor set up
Point of contact for all vendors and guests
Check in on you and provide an emergency kit
Answer questions, troubleshoot issues
Set up bathroom baskets and any other items necessary
Confirm floorpan and equipment are set up correctly
Manage staff and ensure timeline is being followed and key moments occur on time
Direct guests and assist with seating
Address last-minute issues with grace and discretion
Ensure vendors breakdown and clean up in timely manner
Confirm that all personal items, gifts, and valuables are accounted for.
Handle final payments or gratuities if required.
How do you ensure our wedding reflects our unique style?
At our initial consultation and throughout the planning process, we focus on learning about you and provide suggestions that will give your culture, style, personality the highlight it deserves on your big day.
Do you assist with guest lists, RSVPs, and seating charts?
Yes!
What is your cancellation policy?
Client understands that upon entering this service contract, Planner is committing time and resources to this event and thus cancellation would result in lost income and lost business opportunities in an amount difficult to precisely calculate. Therefore, the following cancellation limitations will apply.
Client has the right to cancel services at any time. If Client cancels up to 6 months before event date, it will be entitled to a full refund. If Client cancels 6 months or less before event date, it will not be entitled to a refund. Refunds are except for non-refundable deposit, which was agreed to by Client.
The Planner holds the right to cancel services if working with Client requires Planner to compromise brand or quality of services. That is if client:
Acts in a way that is significantly interfering to planning process, such as but not limited to:
Misses multiple planning sessions without any notice
Continuously fails to respond to emails/texts/calls in timely manner
Fails to provide necessary relevant information to Planner
Does not make payments on time, even after reminder
Causes significant stress, distress, or anxiety to Planner or staff
Client and/or related members fail to follow instructions that may interfere with event day
Client and/or any related members acts in aggressive or abusive way toward Planner or any Iconic Occasions staff; this includes disrespect, verbal, physical, emotional abuse, and sexual harassment
If Planner cancels, it must provide a suitable referral.
Do you carry liability insurance?
Yes!
What happens if you are unavailable on the wedding day?
If your contracted coordinator is not available on the wedding day, the partner will take over. If neither are available, we will provide you with a list of suitable coordinators.
How do we communicate throughout the planning process?
We usually check in over text or email at least once a month. Depending on your package, multiple planning sessions are scheduled to review progress.
do you handle vendor payments and contracts?
We assist in getting your contract, but do not make payments on behalf of you.
